How It Works

It can be confusing if you have never worked with a virtual support company, but the thing that’s very clear is that you need help to take your business to the next level. Here is an overview of how it all generally works.

Discovery

The first step is to figure out which department in your business could use the most support. We offer administrative, seo, email marketing and web design. Most clients only need help in 1 or 2 areas.

The Proposal

After we have met with you, a custom proposal will be sent via email. The proposal will be created based on the discovery call. You will receive a few different options that satisfy your needs and budget.

The Decision

Now that we have talked and you have reviewed the numbers, it’s time to make a decision. If everything is okay, we will send you an invoice and working agreement to get started.

The Onboarding

After the agreement and invoice have been submitted, we’ll schedule a  new client onboarding. During the onboarding, you’ll meet your VA or Project Manager to discuss how and what to delegate.

Let's Roll

After the onboarding has been completed, you’ll be all set to start submitting tasks to our team. Work can be tracked in our project portal and weekly reports are sent so that you stay on top of your purchased time.

How are my hours tracked?

We use a project portal that tracks all of our worked hours. Weekly reports are sent to you via email, but you can always log into our system at any time to view work completed, time tracked and pending tasks. A notification is also sent if you’re getting close to exhausting your purchased hours.

How does the discovery call work?

The first step in building any successful team or partnership is making sure the chemistry is right.

When choosing your service provider, you really need to find a company or individual that has a similar work ethic and view point as yourself. We encourage all potential clients to contact us for a free discovery call. This can be done via phone, skype or face to face and typically takes only 20-30 minutes.

The consultation gives Apex and you the opportunity to get to know each other. Apex will ask questions about you and your business (the type of work you do, your office procedures, the type of service you’re interested in, etc). In return, we want you to ask us lots of questions as well. This process allows us to get a full understanding of your needs and goals.

Do I get a dedicated virtual assistant?

Every client gets a dedicated point of contact. Depending on your specific needs, you will be assigned a project manager or Virtual Assistant as your primary contact.

What type of Virtual Assistants do you hire?

All of our Virtual Assistants are U.S. based and college educated. In addition to secondary education, we also train our Virtual Assistants on various software and how to successfully support entrepreneurs and busy professionals.

What happens if I don’t work well with my VA?

Guess what, it happens and there is nothing wrong with it. If you can’t seem to connect with your Virtual Assistant or project manager, please reach out to our support team. We will be happy to partner you with someone that is a better fit for you.

Can I cancel at anytime?

Many of our services do not require a committment. Services that often do require a committment include SEO and social media advertising. Contact our support team if you need to cancel or pause your services. Cancellations must be made at least 10 days before your next billing date (if applicable). If you have already been billed, your cancellation request will not take effect until the next month. We do not refund unused time.
